An office move starts with the lease. Read the notice period and the restoration clause, name one person to coordinate the move, and plan IT and phones before anything else. Furniture and boxes are the easy part once those three are set.

An office move starts with the lease. The notice period in the lease sets the deadline, and the restoration clause sets what must be done to the old space. Read both before choosing a moving date.
Name one person in the business to coordinate the office move. That person books the mover, talks to both buildings and keeps the floor plan. IT and phones are planned first, because a business that cannot connect on day one loses the day.
A typical order of tasks. A small office can compress it; a larger one needs more time.
| Stage | Tasks |
|---|---|
| Planning | Read the lease notice and restoration clauses. Name a move coordinator. Set a budget and a move date. |
| Building and mover | Get written quotes after a walkthrough. Book the mover. Ask both buildings for elevator, dock and insurance rules. |
| IT and phones | Order internet at the new site early. Plan the network, phones and server move with your IT provider. |
| Floor plan | Number every desk and room on the new floor plan. Decide what furniture moves, what is sold and what is stored. |
| Packing and labels | Give each employee boxes and labels with their desk number. Pack shared areas, files and supplies. |
| Move day | The coordinator walks both sites with the crew lead. Movers place furniture and boxes by the label and floor plan. |
| First day after | Test computers, phones and printers. Collect empty boxes. Note any damage and report it to the mover in writing. |
These are the tasks most often left until the last week.
Website, Google Business Profile, invoices, letterhead, banking and suppliers.
New access cards for staff, and keys returned at the old site.
Canada Post forwarding, and notice to couriers and regular suppliers.
Both buildings may ask the mover for one before the move.
Wall repairs, cabling removal and cleaning, as the lease requires.
Decide what moves, what is archived and what is shredded.

Straight answers to the questions we hear most.
Start with your lease notice period, which sets the real deadline. Book the mover once the move date is fixed, and leave time for IT, phones and building bookings.
Many office moves run on a Friday evening or a weekend so the business opens on Monday. Ask both buildings about after-hours access, elevator bookings and loading dock times.
Your IT team or IT provider should disconnect, label and reconnect computers, phones and servers. The movers pack and transport the equipment. Decide who does what in writing before the move.
Many buildings ask for a certificate of insurance from the mover before the move. Ask both property managers for their rules, elevator times and dock times early.
Decide early what is sold, donated, recycled or stored. Ask the mover whether it can remove unwanted furniture or store items between offices.
